Job Description: The Assistant/Associate Director reports to the Director of Alumni Relations. He/she will provide staff support to several alumni clubs and Reunion, coordinate presidential events and Summer on the Hill, and oversee undergraduate/young alumni transition programs. The Assistant/Associate Director will help develop alumni engagement opportunities while working closely with fundraising activities and the Annual Fund to meet the fundraising goals in support of the strategic initiatives of the University. Other general responsibilities include: – Using metrics and innovative strategy, increase alumni engagement index for Colgate. – Represent alumni concerns to members of the University. – Staff alumni office and university relations events as required. – Assist the Associate Vice President in development and execution of Alumni Office strategic plan. – Additional projects as assigned.
Essential Functions: 1. Provide staff support for various alumni club regions for on-going annual programming, including the implementation and transition of Signature Program Model a. Promote affinity group programming (occupational, era, undergraduate affinity, etc) b. Maintain communication with assigned club volunteers
c. Provide programmatic support for Signature Programs to ensure the success of an event. This includes contacting venues, arranging for entertainment/audio visual/catering, etc. d.Provide staff support to traditional hockey tailgate programs in the Northeast (Harvard & Brown)
2. Support Reunion programming and planning a. Oversee recruitment, scheduling and training of all student workers. b. Contract with childcare provider and coordinate logistics involved in the program. c. Staffing and program logistics for 20, 30, 35, 40, and 45th year reunion classes.
3. Serve as department liaison to Athletic department and Assistant Director for Athletics and Advancement a. Plan and execute tailgate programs for home and away athletic games b. Cultivate new donors with event registration gifts
4. Serve as department liaison with Career Services on joint programs a. Participate in Real World and SophoMORE Connections program planning b. Oversee Professional Network development and implementation 5. Web Site support and communications a. Develop virtual engagement programs for alumni (i.e. livestream technology, webinars, Living Writers, etc) b. Develop online learning programs for alumni, parents, and guests c. Promote Summer on the Hill and other intellectual endeavors d. Attend news and web meetings
6. Represent the staff at division marketing meetings
7. Staff Alumni Council committee meetings and General Session
Qualifications (Education and Experience): Bachelors degree required.
– Experience in alumni relations, fundraising, and/or event planning. – Must be able to travel and work evenings and weekends when needed. – Must be capable of working collegially with a diverse group of faculty, staff and students on a daily basis.
Additional Preferred Qualifications: – Successful candidate will possess strong interpersonal and communication skills, be well organized, detail oriented and able to work independently.
– Prior experience in a liberal arts school setting preferred.
