The Department of Management and Financial Services – Procurement Division is seeking an individual to provide quality customer service to telephone, email, phone, and walk-in customers regarding the Procurement process. Provide daily front counter coverage, answer questions and direct customers to appropriate staff, agency, or website. Office operations duties include administrative support to program staff, distributing mail, photocopying, scanning & filing, faxing, mailing documents and correspondence, proofing, monitoring equipment and supplies, and generating advertisement & supplies orders. Contracting support duties require completion of tasks using a Bids/Proposals and Addendum Checklists for all phases of the contracting process. Checklists consists of sequential tasks to be completed to ensure timely activities during the solicitation development, finalization, advertisement, acceptance, award, and post award stages for contracting. Information system duties require maintenance of all internal and external websites and use of automated purchasing systems including eVA and Oracle. Training support duties require handling registrations, preparing notices, grading online tests, and assembling training books periodically. Job requires attention to detail to proof documents for accuracy and handling of sensitive data. Some data entry is required. Applicant must have good interpersonal skills and enjoy working in a team environment.


Any combination of education and experience equivalent to Associates Degree in Business, Information Technology or related field. Some experience supporting a procurement office and some experience with support/administration of websites strongly preferred. Applicant must be proficient with Microsoft Office application suite and have thorough knowledge of standard office methods.


Essential knowledge of procurement theories, principles, procedures and practices; essential knowledge of competitive negotiation procedures and practices; essential knowledge of competitive sealed bidding procedures and practices are also preferred.
