Accounting Technician – San Jose, CA

GENERAL NATURE OF POSITION:
As a member of Business and Finance team, provide accounting clerical support to the Accounting and Finance department, performing tasks assigned by the Accounting Manager. The areas include, but not limited to, invoicing, draw down on Letter of Credits, bank account reconciliations, journal entries, and month end closing.

ESSENTIAL DUTIES & RESPONSIBILITIES:

1. Under the direction of the Accounting Manager, assist with preparing periodic invoices to customers, and assist with making collection calls on unpaid invoices. Prepares outstanding Accounts Receivable report, assists in resolution of outstanding invoice problems from past due accounts.

2. Perform posting of general journal entries, including performing some data entry as needed.

3. Reconcile bank statements for the Accounts Payable bank account and the Cafeteria Plan Administration bank account.

4. Assist with stale dated check process on the accounts payable bank account.

5. Assist Accounting Manager with draw-downs on Letters of Credits. Assist with quarterly reconciliations report to agencies on draw-downs.

6. Under the direction of the Accounting Manager, assist with annual audit; prepare audit schedules and provide supporting documents to the auditors. Assist with all other audits as needed.

7. Provide back-up cashiering duties as needed.

8. Manage the W9 process plus segregation of PEID’s

9. Perform other duties as assigned, including but not limited to, gathering data from the accounting system, creating spreadsheets and various report.

INTERPERSONAL CONTACTS:
1. Reports to the Accounting Manager.
2. Contacts are regular with management staff and non-management personnel. Interacts with Central Office staff, banking representatives, independent auditors, project directors, faculty members, students and other vendors.

QUALIFICATIONS:

1) Education
A.A. Degree in Accounting or Business preferred, or equivalent education. A minimum of two semesters of accounting education.

2) Experience
Two years of work experience in an accounting department environment, may be substitute with education.

3) Knowledge, Skills, Abilities required
• General knowledge of arithmetic and general office methods, practices and procedures.
• Ability to learning, interpret and apply policies to accounting transactions.
• Demonstrate skills in analyzing and reconciling accounting records and reports and drawing sound conclusions.
• Demonstrate skills in using initiative and sound independent judgment within established guidelines.
• Must be well organized, attentive to detail and able to work independently.
• Ability to work effectively and maintain cooperative working relationships with others.
• Strong mathematical ability.

4) Physical Requirement
• Must be able to operate a ten-key adding machine
• Must be able to operate a PC including mouse and keyboard.
• Must be able to operate general office equipment.
• Must be able to sit for extended periods of time.
• Visual acuity associated with concentrated computer use.
• Works under general supervision on specific assignments following established policies, procedures and practices.
• Work is subject to regular checks and review to ensure compliance with procedures.
